FALL Field Trip Schedule :

Staff Led Field Trips occur on Mondays, Wednesdays, and Fridays: September 21 – November 7

Due to CCSD Elementary time changes, our Field Trips will begin at 9:30AM & 10:30AM this Fall 2026.

  • 9:30AM arrivals reserved for Private, Charter, Homeschool, and Family Engagement groups.
  • 10:30AM arrivals reserved for CCSD using CCSD buses.

Staff-Led Field Trips: K-3rd Grade Program

Designed especially for kindergarten through 3rd grade, our staff-led field trips offer a fun, educational adventure three timed activities:

  • Orchard Introduction (20 minutes): Discover the Orchard through a lively presentation. 
  • Bees & Chickens (30 minutes): Meet our buzzing bees and cheerful chickens while learning their important roles. 
  • Seasonal Picking & Wagon Ride (30 minutes): Hop on a wagon ride to pick fresh produce!
    • Fall: Students pick pumpkins
    • Spring: Students pick carrots

Please note: Picked produce is for students only; adults do not take home pumpkins or carrots.

Optional Picnic Time: If your school brings packed lunches, enjoy an extra 30 minutes in our picnic area.

Field Trip FAQs - Read before booking!

Program is geared towards:

Elementary School Kindergarten – 3rd grade. 

Groups between 50-140 students. Max 150 people including adults. The older the students, or more adults, the less people we can fit in a program. 

Groups larger than 50 people get to book prior to groups less than 50 people. 

Booking does not promise exclusivity. If there is space, we will book another group/school at same time.

For Special Education groups, we try to make every effort to accommodate your group and modify the field trip as needed.

Students get 1.5 hours outside experience at a real Orchard, seeing real bees, chickens, a fun wagon ride, and harvesting carrots in Spring or pumpkins in Fall. A Real Orchard Experience!

  • If your program begins at 9:30AM, the educational portion will be done at 11AM. 
  • If your program begins at 10:30AM, the educational portion will be done at 12PM. 
  • If you bring lunch, add 30 minutes.

We kindly ask all adults to help students pick produce (carrots or pumpkins) and leave produce for the children to take home. Your help makes the experience more fun and memorable for the children!

Field trips are on a tight schedule, and students will need to move to different areas in our timeframe. 

A small snack/souvenir stand will be available after trip. No items are guaranteed.

Here are questions you’ll need to answer to fully book: 

  1. Contact info, school name, and Title 1? 
  2. Grade Level 
  3. # of students, # of teachers, # of chaperones 
  4. Are you staying for lunch? 
  5. Will you bring a wheelchair/accessible device? 
  6. Are you buying apple cider? Apple cider is an additional $1 per each for all teachers, students, and chaperones. (Apple Cider is not available in Spring)
  7. Describe your Transportation? CCSD – ensure CCSD Transport is available 
  8. Agree to terms, conditions, and liability waiver 
  9. Have Credit Card payment ready to pay in full. Check option only for CCSD!

1 adult : 10 students due to space limitations* OR per school/CCSD guidelines

Gilcrease Orchard must know ALL parents/chaperones coming at time of booking. Chaperones will need to reimburse the school.

*Unless special circumstances (Special Education, Homeschool) and planned with Gilcrease Orchard Program Manager, we cannot allow more Parents/Chaperones as we need as many students possible to experience the field trip and wagon ride. We may be fully booked with limited space.

When Booking You Agree to the Following:

1. Cancellations and Headcount Changes

Notifications: All cancellations or requests to change dates, times, or headcounts (students, teachers, and chaperones) must be submitted immediately.
Capacity: We have limited space. We cannot guarantee accommodations for additional guests. Any unannounced guests will only be admitted if space and school policy permits and will be charged the full rate of $6.50.

Exclusivity: Booking does not grant exclusive use of the orchard or facilities. We reserve the right to schedule multiple groups during the same time slot.

Refunds: No refunds will be issued for:
Headcount decreases of more than five (5) people.
Changes or cancellations made within three weeks (21 days) of the scheduled field trip.

2. Weather and Preparation
Attire: This is an outdoor program. All participants must bring water and dress appropriately for the weather and farm conditions. Water is for sale at $1 a bottle.
Cancellations: In the event of inclement weather, Gilcrease Orchard reserves the right to cancel the program. We will make every effort to reschedule based on availability. If not possible to reschedule, Gilcrease Orchard may offer a refund.

3. Lesson Plans Adjustments
Standard Curriculum: Gilcrease Orchard adheres to set program plans.
Deviations: No changes to the lesson plan will be permitted unless requested and approved by the Manager at least two weeks (14 days) prior to the trip.

4. Liability and Assumption of Risk
Farm Conditions: The booking organization acknowledges that Gilcrease Orchard is a working farm with uneven terrain.
Responsibility: Gilcrease Orchard is not responsible for any injuries sustained by participants. By booking this trip, the organization or individual assumes full liability and responsibility for the safety and supervision of all group members.

  • Payment IN FULL by CREDIT/DEBIT CARD required at the time of booking. ONLY CCSD schools will be allowed to pay by check. 
  • Students are $6.50 each and parents/chaperones are $6.50 each. Staff teachers are free
  • Fees help pay for seeds, fertilizer, and labor to grow the carrots or pumpkins. It also helps pay for the diesel for the wagon rides, staff time for our terrific presenters, and credit card/ticketing processing fees. 

  • Get a glass of apple cider for each person, $1 per cup poured in Picnic Area after program. 
  • Booking does not promise exclusivity. If there is space, we will book another group/school at the same time.

Each student should bring:

  • Cold water bottle as the field trip is outside with little shade and no drinking fountain. 
  • Closed toed shoes, hats, sunscreen, and dress for the weather.
  • Lunch or snacks if school plans to stay for lunch.

Note:

  • Port-a-potties are the only restrooms available.
  • Parking is free in the parking lot across the street. 
  • Field trips are 1.5 hours long unless you bring lunches and eat in picnic area for another 30 minutes. 
  • Some areas are paved, most are gravel/wood chips and unlevel ground. 

A water bottle is strongly encouraged, as the kids may run through the maze, and during the warmer months, the kids get thirsty. Extra water too!

Closed toed shoes, hats, and sunscreen.

Fall – Bring foldable wagon for each class to place pumpkins in or cardboard boxes. It helps if they can fit in bus cargo or a chaperone brings a van/truck to transport pumpkins back to school. OR students can each hold their pumpkin on the bus.

Guidelines include information that will be helpful to Chaperones. Please share with your chaperones. 

No, we are not open for public produce picking on field trip days. While we may have a limited selection of snacks and souvenirs available for purchase, availability is not guaranteed. Students may bring funds if they wish to buy items.

Please note: Adults do not pick produce (such as pumpkins or carrots) during field trips, as we ask that they assist students with their picking experience.

Parking Map

Parking is free on the street for the buses and in the lot across the street for cars. Buses need to unload on Whispering Sands Drive following signs and staff directions. Buses then can park in the parking lot to wait. 

Grants are available for CCSD busses – up to $500 per field trip. Charter or private buses are not eligible for reimbursement.

    3. We will process payment and send a check in the mail 2-3 weeks after November 30 in Fall or May 31 in Spring

Yes ! If your group is smaller than 50 or does not fit our age group, we encourage unguided tours on the days that we are open for normal business operations. Entrance to the orchard is free (except for ticketed events like Fall Harvest), but wagon rides are not usually available. You are welcome to use our tables on a first come first served basis

During normal business hours we have our farm stand, concessions and you-pick seasonal produce. You may pick produce and pay by the pound.
